Getting Started with Your Hotel Management System - What to Expect#
Welcome! This guide provides a rapid overview of what you can expect when setting up your hotel and managing bookings within the system.

Initial Setup: Hotel Configuration#
This section allows you to lay the groundwork for your hotel's operations by configuring essential data.
Create New Floors#
What to expect: You'll be able to logically organize your hotel's physical layout. Each floor can be named and assigned a manager for clear operational oversight.
Create New Amenities#
What to expect: This is where you'll list all the facilities and features your hotel offers to guests, such as a swimming pool, gym, or free Wi-Fi. You can name each amenity and provide a brief description.
Create New Services#
What to expect: Here, you'll define all the additional services available for purchase by your guests, like laundry, room service, or spa treatments. You'll set the price for each service and can specify applicable taxes.
Create New Rooms#
What to expect: This is where you'll input all the individual rooms in your hotel. You'll specify each room's name/number, its floor location, room type (e.g., single, double), the rental price, and its maximum occupancy.
Managing Bookings & Customer Requests#
This section covers the core functionality of handling reservations, fulfilling guest requests, and managing billing.
Create a New Room Booking#
What to expect: You'll initiate a new reservation for a customer, inputting their details, the booking date, and the applicable pricelist.
Add Room Details to Booking#
What to expect: You'll easily assign a specific room to the booking. By selecting the room and defining check-in/check-out dates, the system will automatically calculate the duration of stay, rent, and taxes.
Indicate Additional Needs#
What to expect: As customers make requests beyond just the room, you'll find clear checkboxes to indicate if they need services, a vehicle, food, or an event. This acts as a quick flag for additional billing.
Add Specific Service/Fleet/Food Items#
What to expect: Once an additional need is indicated, dedicated tabs will appear (e.g., "Service", "Fleet"). You can then add specific items, detailing descriptions, quantities, and prices, with the system summing up the total for these extras.
Check-Out and Set as Done#
What to expect: This step finalizes the customer's stay. Clicking "Check Out" and then "Set As Done" will mark the booking as completed, indicating that all associated services have been rendered.
Create Invoice#
What to expect: After a booking is marked "Done", you'll be able to generate a comprehensive draft invoice that includes both the room rent and all the additional services, fleet, or food items requested by the customer.
Confirm and Post Invoice#
What to expect: You'll review the generated draft invoice. Once satisfied, confirming it will finalize the invoice, changing its status from "Draft" to "Posted", making it ready for payment.
Register Payment#
What to expect: After the invoice is posted, you can record the payment received from the customer. You'll fill in the payment details (like journal, amount, and date) and then finalize the payment record.
